Zoom offers online cloud recordings that can be more easily shared with others and also offers the benefits of an automated transcription service. These are currently provided at no extra cost to Regent students and faculty. To create cloud recordings during meetings, ensure you are first logged in with your Regent Zoom account in the Zoom Workplace app.
To change any settings for Zoom cloud recordings, go to regent.zoom.us. Cloud recordings are enabled by default. If this setting ever needs to be changed, it can be accessed under Settings>Recording on the "Cloud Recording" toggle.
*Note: Recordings are only available to the host by default. If you are looking for a recording from someone else who hosted your Zoom meeting, you will need to have the meeting recording shared to you. See the "Sharing a recording" section down below. If the meeting appears missing, check if the record button was used during the meeting and that the host was signed in as noted in this guide.
Recording in Zoom Workplace
When you are in the Zoom meeting as the host, you can click on the "record" button to start a recording. If the Zoom window is too small, Record will be wrapped under the "More" button. Clicking on the icon again stops the recording; it will also automatically stop when the meeting is ended.
Accessing the recording
Once the recording is stopped, it will take some time for the recording to process and become available at regent.zoom.us. Zoom has an automated email that will let you know when the processing is complete. The larger the recording, the longer time it may take for the recording to process.
Once the recording is ready, go to "Recording & Transcripts" and click on the image for your recording.
All three of the files can be downloaded by clicking on the download button. If you would like to download individual files, you may hover over each file and click on its download button.
Sharing a recording
Click on "Copy shareable link" to share it with others. It can be pasted anywhere that accepts text, and it includes the passcode to access the meeting.
By default, this allows anyone within Regent who is signed in to view the recording. If you would like to change the sharing permissions for viewers external to Regent, click on "Share" at the top right and change the Link access to "Anyone with the link."
