Navigating the Zoom integration in Canvas
To set up a meeting using the Zoom integration in Canvas, first log into regent.instructure.com and navigate to your Course.
Next, find the "Zoom" link on the Course navigation menu. If you have already signed into your Regent Zoom account at regent.zoom.us you will see the screen pictured in the image above.
A. Upcoming Meetings - Any existing meetings for the course will appear listed in order of occurrence when this tab is selected.
B. Previous Meetings - Any previous course meetings will appear listed in order of occurrence when this tab is selected.
C. Personal Meeting Room - Your personal meeting room is accessible in this tab. Your students will see their own personal meeting room when they navigate to this page.
D. Cloud Recordings - All previous course meetings that have been recorded in the cloud will be accessible to the entire class on this tab. Cloud recordings for all of your previously recorded meetings are available under "Recordings" at regent.zoom.us.
Adjust your timezone using the pencil icon beside the phrase "Your current Time Zone..." at the top of your screen.
To set up a new Zoom meeting, press the blue button for "Schedule a New Meeting" at the top right. Selecting this option will open the Meeting Settings page.
Follow the guidelines below to adjust the settings for your Zoom meeting in Canvas:
1. Topic - Name your Zoom meeting. It is recommended to title the meeting related to the subject, course, or group.
2. When - Select the Date and the Time at which the Zoom meeting should occur.
3. Duration - Enter the length of time that you want displayed for the meeting duration. This will not cause the meeting to end if it happens to continue longer than expected.
4. Time Zone - Select a timezone for your Zoom meeting. By default, it should be set to Eastern Time.
5. Recurring meeting - Selecting this option will allow you to choose how frequently the meeting should occur. (ie. every Tuesday)
6. Security - This section allows you to select one of the following options to protect the members of your meeting.
a. Passcode - Participants will be asked to enter this code when joining the meeting. Anyone joining with an invite link will be placed into the meeting directly.
b. Waiting Room - Participants will be placed in a Waiting Room within the Zoom meeting when they join. The host must move them into the main Zoom meeting to allow their entry.
c. Only authenticated users can join meetings - Participants must be logged into their Zoom account to join.
7. Video - This option allows you to enable or disable video options for host and participants.
8. Audio - Choose between allowed audio options. We recommend the option for both computer and telephone audio to allow the most accessibility for participants.
9. Meeting options - Adjust individual settings for your Zoom meeting.
a. Enable join before host - Selecting this box will allow participants to enter the meeting room before the host.
b. Mute participants upon entry - Selecting this box will automatically mute participants as they join the meeting. This does not prevent them from unmuting after they join.
c. Use Personal Meeting ID - Uses your personal Zoom meeting room. We do not recommend using this across multiple classes, as students from different classes could end up in the same meeting.
d. Record the meeting automatically in the cloud - The meeting will automatically be recorded when participants join the Zoom meeting.
10. Alternative Hosts - Add co-hosts using their email or Regent Zoom name. Users must have a Regent Zoom account to be added here.

After adjusting meeting settings as desired, select the blue "Save" button at the bottom of this screen. The meeting will be added to the Course's "Upcoming Meetings" tab for Zoom. You may additionally share the meeting invitation link visible to you by selecting the meeting title from the "Upcoming Meetings" tab. You may also start, edit, or delete the meeting from this page.
