Phase 1:
These are essential components of the initial shift from a PDF to the SoftDoc version.
- The format of the form needs to closely match the SCHEV version.
- SCHEV will need to approve the application prior to go live.
- If the student already has the VTAG application in an approved status for the aid year (1,2,3 or 4) they should be presented with a message telling them they are approved and do not need to apply again. The issue we want to prevent is that if they submit the form it changes the status from one the system knows is approved for disbursement to under review. The "U" status is not approved for disbursement and will back out the currently authorized/paid grant until the review is complete. Students do this every year.
- If the student has VTAG in an approved status for the immediately prior year they should see a prompt telling them awards are automatically renewed, there is no need to apply again. However, we need to let them elect to proceed forward with the application anyway. There are times where we would not have included the student in the roll (upcoming graduation expected at the time of the roll is an example) but the student does want to tell us they need a review (they are now entering a VTAG eligible graduate program, for example). These examples are not exhaustive.
- We need to allow the student to submit the application digitally so that the primary application is received by the priority funding deadline, and then allow them to collect any further signatures shortly after. The goal here is to allow students who wait until the day of the deadline to submit their (nearly complete) app, without missing the deadline while waiting to access a printer so they can satisfy the "wet" signature requirement.
- When this is the case we need to have the TAGU requirement default to an incomplete status and insert a requirement for the wet signature automatically (or some other mechanism that results in visibility that the wet signature is still needed that dips into current service and communication plan interfaces, without first having processing review what is known to be an incomplete application).
Phase 2:
These are wish list enhancements that should not hold up the significant wins we will get when phase 1 is ready to go live.
- Based on the student's answers in the application, prompt them to upload (if needed) a copy of military orders so they can be reviewed for the military exceptions.
- Add a summary page to the staff view that shows that indicates the likelihood of VTAG eligibility based on answers in the application, their likely category (1,2,3, or 4), their total units used/remaining, and the right amount to award/fund and status code to use.
